In a busy audiology clinic, the moments that define a patient’s experience can be shaped long before they sit down for an evaluation. From scheduling the first appointment to filling out intake forms, operational friction can create unintended hurdles for both patients and staff. These challenges often stem from a collection of manual processes, disconnected software systems, and redundant administrative tasks that consume valuable time and resources.
“Some of the most notable bottlenecks that we typically hear about from our customers are centered more around manual processes, fragmented scheduling and intake processes, manual insurance verification, and really just disconnected systems that force the staff to re-enter the same patient information multiple times in multiple places,” says Kelsey Wells, VP of sales and enterprise services at Sycle. “I think these types of inefficiencies don’t just cost time. They really create friction at the exact moments that we are trying to shape that patient’s first impression when they’re in the clinic.”

A fully integrated workflow can touch every part of a patient’s visit. King outlines an ideal scenario: “When a patient checks in for an audiology appointment, the electronic medical record (EMR) automatically sends a message to AudBase containing the patient’s demographic information, which populates a worklist for the clinician.” From there, the audiologist conducts the evaluation with data captured directly from connected devices. Afterward, the results can be sent to NOAH for a hearing aid fitting or directly to the patient’s EMR. “This fully integrated, real-time workflow ensures that patient information remains accurate and consistent across all audiology systems,” King adds.
The ecosystem of a modern clinic can be complex, extending beyond clinical tools. “All the core systems should communicate together,” says Wells. “That’s the practice management system or your health record system, maybe a CRM that you’re using for marketing, your inventory system.”
Ilve agrees, noting that a practice management system is often “just one part of a significantly larger IT ecosystem” that can include finance systems, third-party call centers, and ordering systems. “The larger the client is, the more systems they interact with,” he says. “So what we have designed [with Auditdata’s Manage PMS] is an open system that is able to communicate and take in all of these different systems, upstream and downstream, and then consolidate all of that data that passes through within Manage.” A system that can consolidate data from these varied sources is key to a holistic view of the practice.

Appointment reminders are another area where automation provides clear benefits. Automated systems can send confirmations via SMS or email and update the appointment status based on the patient’s response, reducing no-shows and eliminating the need for manual follow-up calls.
In the clinical realm, artificial intelligence is beginning to automate aspects of documentation. Several platforms now offer tools that can transcribe and summarize patient conversations, turning them into structured chart notes. “Sycle has some new AI tools that we’ve recently launched that really help…by automatically capturing and summarizing patient notes,” says Wells. This is a significant time-saver, as she notes that most providers aren’t able to complete their notes until hours after an appointment has ended. Ilve sees a similar benefit with Auditdata’s offerings: “We minimize the time that the specialists will spend looking at the screen and typing, and instead trying to get more face time and less admin overall.”
Marketing and patient outreach can also be automated. And over time, this data becomes even more powerful. By analyzing historical outcomes, practices can develop models to better predict a patient’s potential success with a particular hearing aid or cochlear implant, King suggests. He says, “This allows for more personalized counseling and helps patients make informed decisions based on real-world outcomes.”
From a business perspective, accessible data is essential for monitoring performance. Fritzke highlights the utility of a KPI management dashboard, which can provide “instant insights into provider and clinic performance.” Practice owners can view financial metrics, sales figures, and closing rates, filtered by location, provider, or manufacturer. “Having easy access to your KPIs puts you in the driver’s seat to make informed decisions about your business, backed by the data,” she says.
This data-driven approach also extends to marketing. By analyzing patient records, a practice can identify segments for targeted outreach, such as patients who were tested but never purchased devices or those who are due for an upgrade. Fritzke notes that with marketing automation, it’s possible to track the entire process, from sending an email to a patient scheduling an appointment and making a purchase. This allows a practice to “directly connect a marketing campaign to the resulting appointments or sales” and easily see the return on investment.
To fully optimize use of data while also maintaining good security, it’s also important for systems to use permissions levels to restrict which employees have access to different types of information. It prevents staff from having to sift through data that’s not relevant to their duties and helps ensure compliance. This way, employees can access only the data they’re supposed to be able to and use what they need when they need it.
Ultimately, King argues, data should be viewed as a clinical asset. “When integrated across audiology systems and used effectively, data has the potential to enhance patient care, improve outcomes, support clinical decision-making, and drive innovation,” he concludes.

While streamlining operations delivers clear benefits for a practice’s staff and bottom line, the ultimate goal is to improve the patient experience. A smooth, efficient clinic visit leaves a lasting positive impression and fosters stronger patient relationships. When staff are not burdened by cumbersome administrative tasks, they can devote more attention to the person in front of them.
“When routine tasks are automated, staff has more time and mental bandwidth, which is a big one, to engage meaningfully with patients rather than just rushing through all of those kinds of administrative tasks,” says Wells. “Patients really notice the difference in personal connection.”
This translates into tangible improvements during an appointment. According to King, streamlined workflows mean “more time spent with the patient and/or the ability to see more patients, reducing appointment backlog.” This efficiency directly impacts the quality of care and a patient’s perception of the practice.
The convenience offered by modern practice management tools also enhances the patient experience. Features like online appointment booking allow patients to schedule visits outside of business hours. Automated reminders sent via SMS and email are often more convenient than phone calls, especially for people with hearing loss. Fritzke notes that for many patients, “SMS communication is often more accessible, comfortable, and convenient than a phone call.”
